Our integration with Microsoft Teams bridges the gap between Teams and Craft.io's Feedback Portal, providing you with a cohesive solution for effortless feedback submission and management.

This article is your go-to guide for unlocking the full potential of the Craft.io and Microsoft Teams integration. We'll walk you through the step-by-step process of connecting your Microsoft Teams environment with your Craft.io Feedback Portal, enabling you to efficiently gather feedback and drive product improvements.

Initiating the integration

To establish the integration between your Feedback Portal and Microsoft Teams, follow these step-by-step instructions:

  1. Access Feedback Portal Settings:

    • Navigate to your Feedback Portal settings.

  2. Access the Integrations Section:

    • In the Integrations section, find the Microsoft Teams integration option. Click on "Setup" to initiate the integration process.

After clicking "Setup", you will be automatically redirected to the Microsoft Teams web/desktop app. Once there, you will be directed to the Craft.io app page.

Adding the App to Your Desired Entities

The Craft.io app for Microsoft Teams offers versatile integration options, allowing you to add the app in various ways to align with your personal and organizational preferences:

  1. Add to a Team:

    • When added to a team, the Craft.io app becomes visible and accessible to all team members. Any feedback submitted from a message within the team is shared, and the confirmation details are available to all team members.

  2. Add for Me:

    • Adding the app for personal use means it's visible and usable by you alone, across all teams and groups. Other members won't see the app, and the feedback confirmation messages for your submissions will remain accessible only to you.

  3. Add to a Chat:

    • Similar to adding to a team, this option extends the app's visibility and accessibility to a specific chat between members. The collaborative features apply within the confines of the chat space.

  4. Add to a Meeting:

    • Extending the app to a meeting ensures visibility and accessibility for all meeting participants in the meeting's dedicated chat space. The app can be used collaboratively within the meeting context.

Choose the option that best suits your workflow, whether it's enhancing team collaboration, maintaining personal feedback privacy, facilitating chat-specific discussions, or optimizing feedback within a meeting setting. The flexibility of Craft.io's integration with Microsoft Teams empowers you to tailor the app's usage to your specific needs.

Setting up Connections

After successfully adding the app to your Teams entities, you gain the ability to start using it. However, a crucial prerequisite is having at least one connection between Craft organization and the Feedback Portal. This pivotal connection process can only be initiated by the Feedback Portal owner/admin through authentication.

To initiate the connection process:

  1. Navigate to the 'Connections' tab in the app's bot. This tab provides options to view existing connections, add a new connection, or remove an existing one.

  2. Click on 'Add Connection.'

  3. You'll be prompted to sign in to your Feedback Portal.

  4. Enter the URL of the desired Feedback Portal. To find this URL:

    • Navigate to the portal.

    • Click on ‘Settings’ in the menu.

    • Choose ‘General Settings.’

    • Copy the portal link from the provided field.

  5. Click 'Next.'

  6. If not already signed in to the portal, you'll be asked to do so.

  7. Upon successful sign-in, you'll be redirected back to the Teams app. You should now see the newly added connection in the list.

Streamlining Feedback Submission from Microsoft Teams

Craft.io's integration with Microsoft Teams offers an efficient way to submit feedback directly from your Teams workspace to Craft.io Feedback Portal, whether it's a quick message or a detailed feedback item. Here's how you can streamline the process:

  1. Creating Feedback from a Message:

    • Encounter valuable feedback in a Teams message? Click on the ellipsis (...) menu icon, and choose "Create Feedback."

    Pro Tip: The Craft.io app will auto-populate the feedback title and description from the message content, offering a quick way to capture the essence of the feedback.

  2. Choosing the Desired Feedback Portal:

    • For organizations connected to multiple Craft.io Feedback Portals, select the appropriate portal before submitting feedback, ensuring it reaches the correct project or team.

After successfully submitting feedback, you'll receive a confirmation message in Microsoft Teams. This message includes essential details about the feedback submission, providing transparency and reference for both the submitter and team members. It also contains a link to the feedback item within the Feedback Portal for further exploration and management.

Inclusivity for All Users

The integration caters to both registered and non-registered users of the Craft.io Feedback Portal. This inclusivity ensures that anyone within your organization, regardless of their Craft.io access, can contribute to the feedback process effortlessly, fostering collaboration and open communication.

Special cases

  • In the case of changing the name of a Feedback Portal with an active connection to the Teams app, need to disconnect the portal from the app and reconnect it.

  • In case of connecting the portal to another workspace than the one is was connected to before, need to disconnect the portal from the app and reconnect it.
